Proof of Coverage Inquiry

POC Timeliness Reporting Requirements |
Transaction Received Date | NCCI’s received date is used to determine timeliness on POC transactions accepted by the state. |
Policies | Due within 10 days after the Policy Effective Date. POC Notices may be submitted if the policy will not be issued within 10 days after the Policy Effective Date. This does not eliminate the need to submit the policy. |
Cancellations | Due within 10 days after cancellation effective date for any reason. |
Reinstatements | Due within 10 days after the Reinstatement Effective Date. |
Nonrenewals | Kansas is not a continuous coverage state. Nonrenewals are not required to end coverage however, if a nonrenewal is reported for any reason, it must be reported within 10 days after the effective date of the Nonrenewal for POC purposes. |
POC Data Reporting Requirements |
Data Elements: -
Industry Code—A valid 2012, 2017, or 2022 North American Industry Classification System (NAICS) code must be reported
- Refer to the POC Data Element Requirements Chart located in NCCI’s
Policy and Proof of Coverage (POC) Reporting Guidebook for all requirements
Address Reporting—No Physical Location: - When there is no physical location in the state, Kansas will accept Employer Names linked to:
- Address Type 6—No Physical Location
- Address Type 2—Location of Operations with an Out-of-State Address reported with State Code Link 15
State Processing Exceptions: The Kansas DOL does not acknowledge the IAIABC POC data, so no IAIABC reports will be available. |
POC Penalties & Appeals |
POC Fines | Kansas does assess for late reporting or missing data. |
Appeals | Kansas has an appeals process in place for fines that are being assessed. |
