Proof of Coverage Inquiry
Note: Carriers should contact
POCA@ncci.com prior to reporting workers compensation coverage in Tennessee for the first time. |
POC Timeliness Reporting Requirements |
Transaction Received Date | NCCI’s received date is used to determine timeliness on POC transactions accepted by the state. |
Policies | Due within 30 days after the Policy Effective Date. POC Notices may be submitted. This does not eliminate the need to submit the policy within 30 days after the Policy Effective Date. |
Cancellations | Due within 15 days after the Cancellation Effective Date. |
Reinstatements | Tennessee does not have a specific due date requirement. NCCI requires Reinstatements to be submitted within 30 days of the Reinstatement Effective Date. |
Nonrenewals | Tennessee is not a continuous coverage state. Nonrenewals are not required for POC—the Policy Expiration Date is recognized by the Tennessee Department of Labor. If a nonrenewal is reported, the transaction will be available through POC. |

Industry Code—A valid North American Industry Classification System (NAICS) code (2002, 2007, 2012, 2017, or 2022 codes) must be reported

Number of Employees—Must be reported on Address Type Codes 1, 2, and 6
- Refer to the POC Data Element Requirements Chart located in NCCI’s
Policy and Proof of Coverage (POC) Reporting Guidebook for all requirements
Address Reporting—No Physical Location: - When there is no physical location in the state, Tennessee will accept Employer Names linked to:
- Address Type 6—No Physical Location
- Tennessee will not accept Employer Names linked to an Address Type 2—Location of Operations with an Out-of-State Address

POC Penalties & Appeals |
POC Fines | Failure to timely file POC data will subject the offending party to a potential penalty. The Bureau shall assess and collect civil penalties as defined in the Bureau’s Rules. A violation of any Workers’ Compensation rule without a defined penalty may result in a civil penalty of not less than fifty dollars ($50.00) nor more than five thousand dollars ($5,000), per violation. |
Appeals | TN allows for a penalized party to request a contested case hearing. Penalties are collected in a civil action. |
